HOWTO Bridge ESNet to a phone

There are a few options for bridging a phone connection into an ESNet meeting. Instructions are below.

Please note that at this time, we are still gathering information and experience with various technology options. Some of these instructions have been gathered from the internet and have not been tested yet.

ReadyTalk

This is a commercial service that JLab subscribes to. It provides an audio phone connection and the ability for the chair to share slides or their entire desktop with meeting participants. (Participants can't share their own desktops.)

There are two options here:

  1. Connections are made to both the ESNet system and ReadyTalk system via a conferencing telephone
  2. The chair of the ReadyTalk meeting starts the audio meeting via the ReadyTalk website and gives it the ESNet number and code to make the connection
  3. Someone with a polycom unit connected to the ESNet meeting using the phone dial feature on the polycom to call into ReadyTalk as a participant

Conferencing Telephone

These instructions work for the Cisco IP phones installed at JLab, but the idea should work with any telephone capable of making two connections and tying them together.

WARNING: There should probably be ONLY ONE bridge made between the two systems or feedback/echo is almost certain to occur. Please verify with the meeting chair who is going to use their phone to establish this connection before making it to ensure only one is made at any given time.

ALSO: The method described here creates a bridge that persists even after the phone is hung up. Make sure to disconnect the bridge via the ReadyTalk website when done.

  1. Dial into the ESNet phone system:
    • dial 9-1-510-423-9220 (the initial "9" is to get an outside line at JLab)
    • It will immediately beep indicating you should enter your JLab long distance code. Do so.
    • wait for them to ask for the meeting number
    • enter 8542553#
    • If you are the first participant, it will ask you for a pin or to just press "#". Just press "#" if this happens
  2. Push the button marked "more" (furthest to the right, just under the screen on the phone)
  3. Push the button marked "Confrn" (furthest to the left, just under the screen on the phone)
  4. Dial into the ReadyTalk system:
    • dial 9-1-866-740-1260
    • wait for them to ask for the access code
    • enter 3421244#
    • if you are the chair, you will be asked to press "*" and then enter the passcode
  5. Once you have joined the ReadyTalk meeting, press the "Confrn" button to merge
    the two calls into a conference call.
  6. At this point, you can actually hang up and the bridge appears to stay in place. To
    delete the bridge:

ReadyTalk Chair Creates Bridge

Please note that the computer must have a Java runtime environment installed to chair a meeting via the web

  1. Go to http://www.readytalk.com
  2. In the "CHAIRPERSON" box, enter the participant code: 3421244 and the passcode (contact Hall-D staff person for this) then click "login"
  3. Select the desired meeting (if already scheduled) or the "On Demand Meeting" option and click "Open Meeting Controls"
  4. On the window that opens, confirm your choice
  5. Click the green triangle to start the meeting
  6. In the box to the left, enter the ESNet phone number 510-423-9220 followed by the ESNet meeting number 8542553 and click start an audio meeting

Please note that for this to work, the Polycom unit must have a phone line connection
